Add an AI Use Note Before Handing Off Important Work
AI tools can help organize ideas, summarize material and prepare a first draft. The challenge begins when that work moves to another person without context. A reviewer may not know which parts came from an AI tool, what information was checked or where uncertainty remains.
A short AI-use note makes the handoff clearer. It does not need to be technical or defensive. Its purpose is to give the next person enough information to review the work responsibly.
Use a four-line AI handoff note
Add these four lines at the end of an important draft or in the message that accompanies it:
1. How AI was used: State the specific task, such as outlining, reorganizing notes, simplifying language or generating questions. Avoid broad statements such as “AI helped with this.”
2. Information boundaries: Note what information was deliberately excluded. Do not paste confidential, private or restricted material into a tool unless your organization has approved that use.
3. What was checked: Name the parts reviewed by a person and the source used for comparison. For example, dates may be checked against the calendar, names against an approved list and requirements against the current project brief.
4. What remains open: Identify any unresolved question, missing source or decision that still requires an owner. A clear warning is more useful than silent uncertainty.
A hypothetical workplace example
Imagine an operations manager uses an AI tool to organize approved meeting notes into a project brief. Before sending the brief to the department director, the manager adds this note:
AI use: Organized the approved notes and suggested headings. Information boundary: Personal client details were excluded. Checked: Names, deadlines and assigned responsibilities were compared with the final meeting notes. Still open: The budget amount is a placeholder; the finance lead must confirm it before approval.
The director can now focus the review where it matters. The note does not replace careful reading, but it shows what has already been checked and what still needs attention.
