Add a Three-Line AI Handoff Note to Important Work
AI-assisted work often moves from one person to another without enough context. The next reviewer may see a polished summary, recommendation or draft but not know which parts came from source material, which parts were generated and which details still need attention.
The problem is not simply that AI was used. The problem is an unclear handoff. Leaders can reduce that uncertainty with a short note that travels with important AI-assisted work.
Use the Use–Check–Owner routine
Before passing AI-assisted work to another person, add three lines:
Use: State what AI helped produce, such as an outline, summary, comparison or first draft.
Check: Name what a person verified against the original source, including important names, figures, dates, requirements or links.
Owner: Identify the person responsible for the final judgment and note any question that remains unresolved.
Keep the note specific. “Reviewed” is too vague. A stronger line says, “Prices and delivery dates were checked against the three original proposals.” The note should help the next person understand where to focus, not create another long report.
For internal work, place the note at the top of the document, in the project record or beside the approval request. If the work later changes, update the note so it reflects the version being reviewed.
A hypothetical workplace example
Imagine an operations manager uses AI to organize information from three vendor proposals. Before sending a recommendation to the director, the manager adds this handoff note:
Use: AI helped summarize and compare the proposal sections.
Check: Pricing, delivery dates and contact details were checked against the original documents.
Owner: The operations manager owns the recommendation; one insurance requirement still needs confirmation.
The director can now review the recommendation with better context. The note does not guarantee the work is correct, but it makes the review path and responsibility clear.
Try it today
Choose one AI-assisted document or recommendation that will move to another person today. Add the Use–Check–Owner note before the handoff. If you cannot clearly write the “Check” line, pause and verify the important details first.
