Add a Human Approval Gate Before AI-Assisted Work Goes Public
AI can help a team produce a first draft quickly. That convenience can also create pressure to send the work before anyone has taken full responsibility for it. A polished draft may still contain an incorrect detail, private information, an unclear commitment or language that does not fit the organization.
The safest routine is simple: treat AI-assisted material as a draft until a named person approves it.
Use Draft–Review–Release
Draft: Use the tool for a defined purpose, such as organizing notes, outlining a proposal or improving the clarity of an internal message. Do not assume that confident wording means the content is correct.
Review: Assign one person who understands the subject and the intended audience. The reviewer should check the facts, dates, names, calculations, links and any promises the organization appears to make. The reviewer should also look for confidential, personal or client information that should not appear in the final version.
Release: The reviewer makes a clear decision: approve, revise or hold. Record the approver and the final version when the material affects clients, staff, finances, policy or the public. AI should not be treated as the person who authorized the communication.
This routine is small enough to use every day. It creates a visible point where judgment, accountability and organizational context enter the process.
A hypothetical workplace example
Imagine an operations director uses AI to draft a client update about a new service. The draft is clear, but it describes the proposed launch date as if it were final.
Before the message is sent, the service manager reviews it. The manager confirms the service description, removes the unapproved date, checks that no internal pricing discussion appears in the text and approves the corrected version. The team records the manager as the final approver.
The AI supported the drafting work, but a responsible person made the decision to release it.
